How to use the billable hours calculator

  1. Set your hourly rate.
  2. Add each task with its hours in decimals, so 1.5 is an hour and a half.
  3. Switch anything you can’t bill to non-billable, then read your totals.
  4. Copy the totals onto your invoice before you close the tab.

How the billable hours calculator works

Only billable hours count towards the invoice. Non-billable time still shows in your total, so you see the whole week, not just the part a client pays for. Each row is one task: its hours, and whether it is billable.

To invoicebillable hours × hourly rate
Utilizationbillable hours ÷ total hours

Logging the non-billable hours matters too. If admin, sales and email take a quarter of your week, your hourly rate has to cover them, because no client will pay for them directly.

Worked example: a week at $120 an hour
Kickoff and discovery
3.5 h · billable
Wireframes
6 h · billable
Internal admin
1.5 h · non-billable
Billable share
9.5 of 11 h (86%)
To invoice
$1,140

86% is a strong week. Over a whole year, once sales and admin are counted, 60–70% is a more typical share.

Billable hours calculator FAQ

What counts as billable time?

Anything you agreed to charge for: the work itself and, usually, client calls and revisions. Your own admin, sales and bookkeeping are non-billable.

How do I convert minutes to decimal hours?

Divide the minutes by 60. 15 minutes is 0.25, 30 is 0.5 and 45 is 0.75.

Should I bill for emails and calls?

If they’re about the client’s project and your agreement allows it, yes. Say so in your contract so nobody is surprised.

Is my timesheet saved?

No. It lives in your browser tab and nothing is sent anywhere, so copy your totals before you close it or refresh the page.

How often should I invoice my hours?

Weekly or monthly for ongoing work, at each milestone for projects. Whatever you choose, agree it up front and stick to it: regular, predictable invoices get paid faster than one large surprise.
