How to use the time duration calculator

  1. Enter the time you started.
  2. Enter the time you stopped. If it’s earlier than the start, the calculator counts through midnight.
  3. Add any break in minutes, like lunch.
  4. Copy the decimal hours onto your timesheet or invoice.

How the time duration calculator works

The calculator counts the minutes from start to end, adds a day if the end is earlier than the start, and takes off the break. Then it shows the result three ways.

Minutes workedend − start − break
Decimal hoursminutes worked ÷ 60

Decimal hours are what invoices and spreadsheets expect: 3 hours 30 minutes is 3.5, not 3.30. Mixing the two up quietly undercharges, because 3.30 hours is only 3 hours and 18 minutes.

Worked example: 9:15am to 12:45pm
End − start
12:45 − 9:15
Break
0 minutes
Minutes worked
210
Duration
3h 30m = 3.50 hours

At $120 an hour that’s $420. Billed as 3.30 hours by mistake, it would be $396.

Time duration calculator FAQ

How do I turn hours and minutes into decimal hours?

Divide the minutes by 60 and add them to the hours: 2 hours 45 minutes is 2 + 45 ÷ 60 = 2.75. Six minutes is 0.1 of an hour, which is why many freelancers bill in six-minute steps.

Does it work past midnight?

Yes. If the end time is earlier than the start, it counts through midnight, so 10pm to 1am is 3 hours. It handles one stretch of up to 24 hours at a time.

Should I bill my breaks?

No. Take lunch and other breaks off before you bill. If you took several short ones, add them together and enter the total as one break.

Should I round my time?

Many freelancers round each entry to 6 or 15 minutes. Whichever you choose, round the same way every time and say so in your contract, so the client knows how they are billed.

How do I add up a whole week?

Work out each stretch here, then total the decimal hours. The billable hours calculator adds a week of entries at your rate and shows what to invoice.
