How to use the invoice generator
- Add a line for each piece of work: description, quantity and rate.
- Add a discount or sales tax if you need one.
- Copy the invoice, then add your invoice number, dates and payment details before you send it.
How the invoice generator works
Each line is quantity × rate. The lines add up to a subtotal; any discount comes off first, then tax is added to what’s left.
Total due(subtotal − discount) + tax
The generator does the arithmetic and lays out the lines. Your details, your client’s, the invoice number and the dates are yours to add once you’ve copied it. Keep a copy of every invoice you send: you’ll want them at tax time.
- Design, 18 h × $120
- $2,160.00
- Development, 26 h × $135
- $3,510.00
- Subtotal
- $5,670.00
- Sales tax (8%)
- $453.60
- Total due
- $6,123.60
Tax is worked out after the discount, so a 10% discount on the same invoice would lower the tax as well as the subtotal.
Invoice generator FAQ
What should a freelance invoice include?
Your name and contact details, your client’s details, an invoice number, the issue and due dates, the itemized work, the total and how to pay. Put a cost you pass on, like printing, on its own line; the markup and margin calculator prices it.
Does this save my invoices?
No. Everything stays in your browser tab and disappears when you close it, so copy the invoice before you go.
Do I need to charge sales tax?
It depends on where you and your client are, and what you sell. Many services are exempt, but check your state’s rules.
How should I number my invoices?
Any sequence that never repeats works, like INV-0001, INV-0002. Clients and accountants both like order.
When should I send an invoice?
As soon as the work, or the milestone, is done, while it’s fresh in your client’s mind. On longer projects, invoice a deposit up front and the rest at agreed milestones, so you’re never carrying weeks of unpaid work.
