Client portal software for freelancers and small studios

Give each client one calm place to see their work. Projects, files, proposals, contracts, invoices and messages sit behind one sign-in, in your studio's colors.

What your clients can do

Everything they need, nothing they shouldn't see.

Invite a client. They sign in their way.

Add a contact to a client and send the invite by email. They choose a password, or ask for a magic link that works for 15 minutes. There's nothing to install, and they only ever see the work you share with that client.

  • InviteBy email, for each client contact
  • Sign-inA password or a 15-minute magic link
  • PrivacyEach client sees only their own work

Projects, to-dos and files in one shared place

The portal opens on a home view of what's in progress and what's waiting on them. Shared projects show where things stand, and to-dos sit with the person who owns them. Files you share are there to download, and anything they upload lands with you.

  • HomeWhat's in progress, and what's waiting
  • ProjectsShared projects and to-dos
  • FilesDownload yours, upload theirs

Proposals and contracts they can act on

When a proposal is ready, it's waiting in the portal. Your client picks a package, adds any extras, then accepts, declines or asks for changes. Contracts work the same way: they read it, sign it, and keep the signed PDF.

  • ProposalsPick packages and add-ons, then respond
  • ContractsRead and e-sign in the portal
  • RecordsThe signed PDF stays with them

Invoices they can open any time

Every invoice you send shows up in the portal too. Clients can view it and download the PDF, so nobody digs through email for last month's copy. Once you connect your Stripe account, they can pay an open invoice by card right there, and the portal shows it as paid.

  • ViewEvery invoice sent to that client
  • DownloadA PDF of each one
  • PayBy card, through your Stripe account

Messages and meetings, without the email chain

Each client gets message threads with your studio, kept next to the work they're about. When they'd rather talk it through, they can request a meeting from the same place. The whole portal wears your studio's accent colour, so it feels like yours.

How it works

Three steps, then it runs itself.

  1. Step 01

    Add a client contact

Put the contact on the client they belong to. They only ever see that client's work.

  2. Step 02

    Send the invite

They get an email to set a password, or ask for a magic link that works for 15 minutes.

  3. Step 03

    Share as you go

Projects, files, proposals, contracts and invoices you share appear in their portal.

One thread, lead to paid

How it connects

Your client steps in at four stops. They review the proposal, sign the contract, follow the project and open the invoice. Each one is the same record you work from, so nothing is copied across.

  3. ContractClient sees

Questions

Client portal questions

Do my clients pay for an account?

No. Your clients don't pay anything and don't need a Meadow Desk account of their own. You invite them by email, and they sign in to see what you've shared.

How do clients log in?

With the email address you invited. They can set a password, or ask for a magic link that arrives by email and works for 15 minutes. There's no app to install.

Can clients sign contracts in the portal?

Yes. They read the contract and e-sign it right there. Once you've added your countersignature, the signed PDF is kept in the portal for them to download.

Can clients pay invoices in the portal?

Yes, once you connect your own Stripe account. Every unpaid invoice in the portal gets a Pay button for the balance due, and the payment is recorded against the invoice for you, with a receipt to the client. Payments by bank transfer or cash you record yourself.

Does each client see only their own work?

Yes. A contact only sees the projects, files, proposals, contracts, invoices and messages for the client they belong to. Nothing from your other clients ever appears.

Your calmest workday starts here.

Sign-ups are paused for now. Save your seat and we'll email you the moment they reopen.
