Where the details slip through

Design work runs on details: the brief, the agreed scope, the final files. Here's where those details usually get lost, and where they live on the desk.

  1. The brief

Retyping the client's details on every document

The brief, the quote and the invoice each start from scratch, and small details drift between them.

On the desk: One client profile holds the brief, the proposal and every invoice

  2. The scope

The “quick tweak” that was never in the quote

Scope that was never written down is work you end up doing for free.

On the desk: Proposals with clear packages and add-ons the client picks before saying yes

  3. The signature

Waiting on a signature before you can start

The project stalls while the contract sits unsigned in someone's downloads folder.

On the desk: Contracts your client e-signs by private link or in their portal

  4. The final files

Digging through email for last year's final files

A client asks for the logo files again, and an afternoon goes to searching.

On the desk: Files shared in the client portal, there to download any time

What you'll use

Built around the client, not the document

Proposals, files and invoices do most of the work for designers. Each one hangs off the same client, so the history of a job is always one click away.

Proposals that start from your best one

Start from a template in your library instead of a blank page. Lay out the scope, offer packages at different prices and optional add-ons, then send one private link. Your client picks what suits them, then accepts, declines or asks for changes.

More on proposals & contracts

One profile per client, final files included

When a lead says yes, they become a client with a single profile. The brief, every file, and each project, proposal, contract and invoice live there. Share files in the client portal for them to download, and anything they upload lands with you.

Invoice the same record you quoted from

Pull in tracked time, or write the lines by hand, and every invoice gets its own number. It goes out by email with a PDF, and your client can open it in their portal any time, so nobody digs through email for last month's copy.

Questions

Questions designers ask

Is Meadow Desk a CRM for designers or a project tool?

Both, on one desk. The CRM side holds leads and one profile per client. The same record carries proposals, contracts, projects, files and invoices, so the client's name is typed once.

Can clients choose between packages?

Yes. Offer packages at different prices, plus optional add-ons. The client picks what suits them before accepting, and you see exactly what they chose.

Where do briefs and final files live?

Against the client. Each client profile holds every project, proposal, contract, invoice, file and note. Share files in the client portal for them to download, and anything they upload lands with you.

Can clients sign contracts online?

Yes. Clients e-sign through a private link or in the client portal, and you countersign once they have. You both get a signed PDF with a signing certificate.

Does the client portal carry my studio's branding?

The whole portal wears your studio's accent color, so it feels like yours. Custom portal domains aren't available yet.
