# Invoicing

Source: https://www.meadowdesk.com/features/invoicing

Numbered invoices from tracked time, emailed with a PDF, scheduled reminders, online card payments and late fees. Invoicing software for freelancers.

Send clear, numbered invoices, let reminders do the nudging, and always know what's still owed. Calm billing, without the chasing.

## Invoices built from the work you did

Pull in tracked time, or write the lines by hand. Add tax and discount lines where you need them. Every invoice gets its own number, so your records stay in order without you keeping count.

- Lines: From tracked time, or by hand
- Totals: Tax and discount lines
- Numbers: Assigned in order, every time

## Sent by email, with reminders on a schedule

Send an invoice by email with the PDF attached. If it isn't paid, reminders go out on the schedule you set, so you don't have to write the awkward email. For ongoing work, set up a recurring invoice once and it's raised on time.

- Send: By email, with a PDF
- Reminders: On the schedule you choose
- Recurring: For retainers and regular work

## Paid online, or recorded the way it arrives

Connect your own Stripe account and clients pay by card from the invoice email, a private pay link or their portal. The payment lands on the invoice by itself, and the client gets a receipt. Bank transfers and cash you record against the invoice, part payments included, and the balance updates. Need to fix something? Issue a credit note or void the invoice, and the history stays intact.

- Online: Card payments through your Stripe account
- Recorded: Bank or cash, part payments included
- Corrections: Credit notes and voids

## Overdue balances that surface on their own

You don't need to check a list every morning. Once an invoice passes its due date, it's marked overdue and shows up where you'll see it. If your terms include a late fee, switch it on and it's added to the invoice as its own line after the grace period you choose. Your clients can open every invoice in their portal too, so the latest copy is always a click away.

- Overdue: Flagged once the due date passes
- Late fees: Optional, after a grace period
- Portal: Clients view, download and pay invoices

## Invoicing questions

**Can clients pay my invoices online?**
Yes, by card, once you connect your own Stripe account. The invoice email, a private pay link and the client portal each offer a Pay button for the balance due, and the payment is recorded against the invoice for you. Stripe's processing fees apply; Meadow Desk takes no cut.

**Can I send recurring invoices?**
Yes. Set up a recurring invoice for a retainer or regular work, and a new invoice is raised on the schedule you choose.

**How do reminders and late fees work?**
Reminders are on from the start: a friendly nudge two days before the due date, then one on the due date and every 7 days after it, three in all. Change the gap or the count, switch them off, or send one by hand; they stop once the invoice is paid. Late fees are off until you switch them on: a percentage or a flat amount, added as its own line after a grace period, and you can waive any fee.

**Can I record a partial payment?**
Yes. Record any amount against an invoice. The rest stays open, and the invoice is marked paid once the full amount is in.

**What if I make a mistake on a sent invoice?**
Issue a credit note for the difference, or void the invoice and send a corrected one. Either way, there's a clear record of what changed.
